Interpersonal distance, the key for a safe return to the office

If we take a look at the history of architecture, we can see that every epidemic has contributed to adding changes and improvements to the work environment. For example, after tuberculosis, metallic door knobs were implemented; after cholera, pipeline shapes were changed, and after the plague door, frames and tiles were introduced. These were changes that came to stay and overall contributed to the improvement of health conditions for everyone.

Nowadays, on a less alarming scale, Covid-19 threatens to change office work dynamics one more time. On overcrowded environments such as the headquarters of many companies, the key to safety may be keeping interpersonal distances, which is something that may not always be achievable and therefore supposes a big challenge to overcome. Geopositioning systems can be of great help: Situm Covid-19 allows for each employee to receive necessary information to be able to move safely through the work environment.

With the arrival of Covid-19, offices have been deserted. Given the high risk of transmission, many companies have adopted teleworking as the best option to keep activity going as well as guaranteeing their employee’s safety. So, even though this working model has proven to be viable, many companies are already thinking how to go back to their in-office work without taking unnecessary risks.

So far, everything is pointing towards a gradual return in which both work strategies, telematic or face-to-face, are able to coexist. This way, all security measures can be implemented in order to maintain two key issues under control: guaranteeing social distancing and controlling building and office capacity.

In any case, companies are considering that the best case scenario for this return may be September this year or early 2021. The situation is clear: in order to guarantee an adequate interpersonal distance, it will be necessary to reduce the capacity 35% or even 50%. It will undoubtedly be a challenge in which many things will have to be solved on the go, but there are some clear issues that need to be tackled now. No company will be able to open the door to their employees if they don’t find a solution to the following:

  • Capacity control.
  • Personal space between employees.
  • Clear marking of the circulation pathways.
  • Enable accesses.

How to improve the office life during new normal?

Companies are facing important challenges: from organizing work to the dynamics inside their facilities. Elevators, for example, are proving to be quite a headache, because there are buildings in which going up the stairs is not an option and using the elevator, with the new occupancy percentages, could take all day.

Besides, until the new routine is put in place and even beyond that moment, offices may turn into a continuous showcase of explanatory signage, be it in the form of text, graphs or maps that indicate how to make use of the space or how to circulate through the facilities. By experience, we all know that these resources may be helpful but they can also contribute to chaos amongst the numerous staff. There is nothing that can be more stressful to us than feeling like we won’t know how to act or how to move when push comes to shove.

On the other hand, given current economic uncertainty, the large majority of companies have dismissed having to make big investments to adapt interior spaces to the new rules. So a mixed working model is what is currently being established, in which working from home and from the office are both plausible options that guarantee staff safety and contributes to a flexible, low investment, adaptation to the new normal.

Situm Covid 19: geolocation that makes office management easy

Interpersonal distance control through geopositioning.

Situm has spent years working on an indoor positioning technology for business environments which allows us to have a robust and  reliable system that is already working on more than 6.000 buildings worldwide and redirect it to staff management in the face of the risks that this pandemic is causing. Since it is a system that is simple to use, it solves many of the challenges that work environments are currently facing.

Our indoor geolocation solution works like a GPS that allows workers to have all the information they need in order to move safely through the facilities and at the same time provides real-time information to managers about how the workspace is being used in order to improve dynamics.

We can highlight the following main characteristics of the Situm Covid-19:

  • To implement Situm Covid 19 there is no need to have dedicated infrastructure because the system works with pre-existing WFi and Bluetooth signals.
  • It is only necessary to provide employees with a smartphone. This will become the device in which they will receive all information needed in order to move autonomously.
  • Staff managers will be able to record each device’s signal and analyse the trace that each employee leaves behind in order to improve dynamics. This information will, in turn, be available very clearly and intuitively  on a single dashboard as maps, analytics or graphs.
  • The system allows floor-by-floor guidance and tracking.
  • It’s operational in less than a week with minimum investment.

What does all this translate to?

The adoption of our technology allows the activity and work dynamics to be collected in detail, which greatly facilitates the management of this new normal. Among its many applications, we can highlight the following:

  • Safety distance control: the solution will alert employees in case they’re at risk of breaching the minimum safety distance.
  • Capacity control: a notification will be triggered in case there’s risk of surpassing the recommended capacity limit for a given space, like common resting areas or meeting rooms. For this, we  use our geofence technology that allows us to delimitate and analyse the use that is made of a place.
  • Employee traceability: all users leave a footprint in the system so that, in the case of contagion, the personnel that has been in contact with the infected can be identified quickly and easily.
  • Automatic detection of all entries and exits: which provides a touch free employee entry control system.
  • Geolocated notifications on Disinfection Points: given the fact that personnel should follow strict hygiene guidelines, the system can send notifications that remind people  what protocols to follow when passing through a certain area.
